HubSpot News

The latest additions, updates and workflow improvements in HubSpot.

HubSpot Notifications

I've had several requests to add people to notifications who are already added. If you are not getting New Booking, Cancelled Booking and/or Evaluation Notifications, then you likely need to turn on Email Notifications in your HubSpot settings. I've made a quick video to show you how.

I encourage you to explore All Views Button on each Object you spend time with. I have several filtered lists that may be useful, or may just give you an idea of what you would like to see. More on how to do this Here.

Evaluations (Feedback Submissions)

Evaluations are live in HubSpot for all three brands. Discovery Evals have no Booking information attached, but we are capturing all of our Evaluation data in the same place.

Evaluations are called Feedback Submissions in HubSpot.

They are all compiled in the Automations → Surveys → All Responses

Here's a quick video showing you how to find and explore Evaluations, and how to Bookmark things in HubSpot.

Deals (Bookings)

Deals have seen a dramatic makeover in the last few months. We now have status points, but they're called Pipelines, each of which have a set of Deal Stages.

Here is an clickable image showing the way a Deal moves through the Stages.HubSpot Booking Flow - Booking Flow Chart

You will also notice that Deals are Associated with many more things, as you can see below.

Contacts

Left Side Contact Sections

I have created workflows to calculate a Total Completed Count on all Contacts and added this property to the Travel History on the left side.

You can collapse the About this Contact section to see this information more easily.

⇐ NOTE: I have it enabled for you to edit as much of this view as possible to suit yourself. I'll make a video of how to do this but feel free to explore. Click those little gear wheels and see what happens.

Tickets

Tickets are primarily used for Evaluations. Like Deals, Tickets have Pipelines. If you need to create a Ticket to help resolve a customer issue, please make sure to use the Support Pipeline and not the Evaluation Pipeline.

Companies

Lots of things have happened with Companies, including the introduction of Trip and Departure Objects

Trips and Departures are NOT currently synced with Tour Amigo.

Some Companies are synced, but are NOT getting things like Business Unit and Company Type set by Tour Amigo.

We are working with Tour Amigo to get a sync in place. Until then there will be some maintenance of Departures as new ones are added.

If you create a bunch of Instances in Tour Amigo, I can Import, please don't feel you need to add things one-by-one.

A run through of what we've done with Companies, Trips and Departures.

Trips

Similar to Peak, Trips just hold information applicable to every Departure. We use Trips primarily to transfer information to other Objects (Deals, Departures, Companies) in workflows.

Like Peak, we can use the Trip Object to hold data, links, even copy to use in Guest Communications.

Departures

Departures exist primarily to give us an Object to set Tasks against for Operations.

Depending on the amount of information we are able to maintain with Tour Amigo webhooks, there could more use cases. Pricing, however, is NOT one of those use cases. We can maybe keep capacity (total seats, sold seats and available seats) updated though.
